GF Horseboxes Workshop Privacy Policy
Last updated 16 October 2026
The Short Version
GF Horseboxes Workshop is a private app for the staff of one garage, GF Horseboxes. It records the garage’s work: jobs, the vehicles and the customers they belong to, photos and videos of the vehicles, and the figures for running the garage. That information belongs to the garage and is kept on its own server. There is no tracking, no third-party analytics and no advertising.
Who Is Responsible for the Information
GF Horseboxes decides what it records about its customers and their vehicles, and is responsible for it. Its own privacy notice, given to its customers, explains how it uses their details. I build and look after the app and its server for the garage, and see the information only to keep them working.
Signing In
Staff sign in with a username and password that the garage gives them. The app keeps the sign-in in the device’s Keychain, on that device only, so it doesn’t have to be typed again; signing out removes it. On the owner’s iPhone the app asks for Face ID, Touch ID or the passcode before it shows the garage’s figures. That check happens on the iPhone: the app never sees a face or a fingerprint.
What the App Sends to the Garage’s Server
- The jobs, notes, times, parts and vehicle checks that staff enter.
- Photos and short videos of vehicles taken on the workshop iPad. Until they have uploaded they wait on the iPad, left out of its backups.
- A short report when something goes wrong unexpectedly: where in the app it happened and the error, never anything anyone typed and never a customer’s details.
Apart from the iPad downloading Apple’s speech model the first time a note is spoken, the app talks only to the garage’s server.
The Camera, Microphone and Speech
The workshop iPad uses the camera to photograph and film vehicles, and the microphone to record a video’s sound. A mechanic can also speak a note instead of typing it: the speech is turned into text on the iPad itself, and nothing said leaves it. The app asks before it first uses the camera, the microphone or speech recognition, and each can be turned off in Settings.
How Long Things Are Kept
Photos and videos are removed once a job no longer needs them: when its last link for the customer has expired, or a set time after the job is paid or cancelled (30 days unless the garage changes it), whichever comes first. The rest of the garage’s records stay until the garage removes them. The server copies the records each night, and those copies are deleted within about 13 months.
What the App Does Not Do
- No public sign-up: only the garage’s staff have logins
- No analytics or crash-reporting SDKs
- No advertising or ad identifiers
- No selling or sharing of data
Changes
If a future version of the app changes any of the above, this policy will be updated before that version ships, with the date at the top revised.
